"User" refers to any individual or business entity that registers for and uses the Sofia platform to create and manage AI agents.

"End Customer" refers to any individual who interacts with a User's AI agent through WhatsApp or any other supported messaging channel.

"Conversation Data" refers to all messages, metadata, and content exchanged between an AI agent and an End Customer through the Sofia platform.

"Personal Information" means any information that identifies or can be used to identify a natural person, directly or indirectly.

We use the information we collect for the following purposes:

• To provide, operate, and maintain the Sofia platform and its features, including the delivery of AI agent services to your End Customers.
• To store Conversation Data on our servers in order to facilitate the operation of the AI agents and ensure continuity of service.
• To use Conversation Data for internal analytics, including understanding usage patterns, measuring platform performance, and generating aggregated insights.
• To improve and enhance the Sofia platform, including training and refining our AI models, improving response quality, and developing new features. When Conversation Data is used for these purposes, we take reasonable steps to anonymize or aggregate the data where practicable.
• To process payments and manage your account.
• To communicate with you regarding your account, service updates, and promotional materials (with your consent where required).

All Conversation Data is stored on secure servers maintained by Aitropos or its authorized infrastructure providers. We retain Conversation Data for as long as necessary to fulfill the purposes described in this Privacy Policy, or as required by applicable law.

Users may request deletion of their account and associated data by contacting us. Upon account termination, we will delete or anonymize your data within a reasonable period, unless retention is required for legal or legitimate business purposes.

Users of Sofia are responsible for ensuring that they have the appropriate legal basis and consent to use AI agents that interact with their End Customers. Users must provide adequate notice to their End Customers that their conversations may be processed by an AI agent and stored by Aitropos.

Aitropos acts as a data processor with respect to End Customer data processed through Sofia on behalf of Users, who act as data controllers. Users must comply with all applicable data protection laws when using Sofia and are responsible for responding to data subject requests from their End Customers.

We implement appropriate technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include encryption of data in transit and at rest, access controls and authentication mechanisms, regular security assessments and monitoring, and incident response procedures.

While we strive to protect your information, no method of electronic transmission or storage is completely secure. We cannot guarantee absolute security of your data.

Your information may be transferred to and processed in countries other than the country in which you reside. These countries may have data protection laws that are different from the laws of your country.
